- POSITION: Programme Administrative Assistant
- Duty Post: Tema, Community 6
SOS Children’s Villages GHANA is a child welfare organization that offers secure family-like care (FLC) to disadvantaged children. We also provide social services to at-risk families through our Family Strengthening Projects. We currently operate from four locations: Tema, Asiakwa, Kumasi, and Tamale, with the National Office in Accra. Applications are solicited from suitably qualified and enthusiastic individuals for appointment
Purpose:
To help the Programme Director and Programme Office in providing effective and responsive administrative, organizational, logistical, and managerial support services at the Location.
Qualification and Experience
The ideal applicant should have
- First degree in business administration (communications/management) or social sciences, with two (2) years of experience in a similar role.
- Computer literacy (Word, Excel, PowerPoint, and Access)
- Ability to take initiative and operate under pressure with minimal supervision.
- Effective oral and written communication skills
- Good interpersonal relationships.
- Should be patient, polite, and generally interested in giving good customer service.
- Good report writing capabilities.
- Have excellent cultural understanding and the ability to work with people from various cultural backgrounds.
- Be a team player, with good collaborative abilities, and the ability to relate to children, youth, and coworkers of all levels.
Key Responsibilities
- Responsible for the successful and efficient operation of the front desk of the Programme Office.
- Manage and maintain the Programme Director’s diary.
- Schedule monthly diary meetings with the Programme Director to discuss impending engagements, invites, and other requirements.
- Responsible for handling correspondence, and logging incoming and outgoing emails to and from the Programme Office, National Office, and all other program locations.
- Create and manage an effective system for storing and retrieving files and documents.
- Disseminate information to the Program headquarters and all units at the location.
- Prepare statements and papers for the Programme Director.
- Maintain a follow-up procedure on letters and reports needing actions within the stated timeframes, and interact with the respective Heads of Projects to ensure timely submission of responses and reports to the Programme Director.
- Maintain a consistent flow of information between the Location, the National Office, and all other Programme Locations.
- Manage donor and sponsor relationships, as well as visitors to the Programme Office.
- Ensure that the Programme Office’s notice board is managed and used effectively.
- Arrange and record minutes for general meetings held at the Programme Location Office.
- Responsible for photocopying and binding papers at the Programme Office.
- Performs any other duties assigned by the supervisor.
