POSITION: Card Operations Officer

TotalEnergies is seeking a Card Operations Officer to join our team. Your Mission

You will take responsibility for the creation and customization of Total cards in line with customer requests. Your focus will span card loading, PIN code coordination, blank card inventory management, blacklist revalidation, transaction reconciliation, documentation, front desk liaison, customer service, and monthly reporting. Your ability to follow approval procedures, maintain accurate records, and respond to inquiries professionally will keep our card operations running smoothly.

Key Responsibilities

Your role spans card creation, inventory management, reconciliation, documentation, customer service, and reporting. Here is what you will tackle:

Card Creation & Customization

• You will create and customize Total cards in line with customer requests, ensuring each card meets specific client needs.
• Loading all approved orders by close of business each day and informing customers immediately keeps our service responsive.

PIN Code Coordination

• You will coordinate with the officer in charge to ensure customers receive corresponding PIN codes for new cards in a safe, secure manner.

Blank Card Inventory Management

• You will prepare the Blank Card follow up report and ensure adequate stock of blank cards at all times.
• Running out of blank cards would stall operations, so proactive inventory management is essential.

Blacklist & Card Modifications

• You will revalidate blacklist entries, block, transfer, and replace customer cards as requested and approved.
• Following the appropriate approval procedure before taking action protects both the company and the customer.

Daily Reconciliation

• You will perform daily reconciliation with Tomcard Invoicing to ensure that all card transactions invoice properly.
• Catching discrepancies early prevents larger problems later.

Documentation & Record Keeping

• You will maintain an updated record of all supporting documents for every card order, whether from existing or new customers.
• Organized records support audits and customer inquiries.

Front Desk Liaison

• You will liaise with the Front Desk Team, ensuring that card collection is well documented and follows established procedures.
• Clear handoffs between teams prevent lost cards and frustrated customers.

Customer Service & Inquiry Handling

• You will commit to responding to all customer inquiries and complaints in a timely, professional manner.
• Ensuring high customer service standards and effective handling of issues builds loyalty and trust.

Monthly Reporting

• You will prepare monthly reports on key operational and sales statistics as required from time to time.
• Data driven reporting helps management spot trends and make informed decisions.

Additional Duties

• You will perform any other duties assigned by the Card & E Business Manager from time to time, demonstrating flexibility and team spirit.

What You Bring to the Role

Education

• A good first degree holder, preferably in Marketing, Economics, Accounting, Statistics, or an equivalent field.

Technical Skills

• Computer literacy for working with card management systems, spreadsheets, and reconciliation tools.

Interpersonal & Analytical Skills

• Possesses excellent interpersonal skills for liaising with the Front Desk Team, officer in charge, and customers.
• Excellent communication skills for responding to inquiries and explaining procedures.
• Strong analytical skills for reconciling transactions, spotting discrepancies, and preparing reports.
