POSITION: Finance and Administration Officer

How Spark Creates Change

The Facilitated Collective Action Process (FCAP) forms the foundation of Spark’s work. Rural communities gather for regular facilitated meetings. They organise themselves, conceptualise projects, and implement local development initiatives. A microgrant funds these efforts. The FCAP improves local livelihoods, strengthens social cohesion, and boosts citizen engagement.

Spark operates with an international team of functional advisers covering finance, training, design, and monitoring and evaluation. These advisers support country teams. Country teams then co design the FCAP with local partners and government. They train partners and monitor quality. The size of each country team depends on partner needs.

What the Finance and Administration Officer Does

This role oversees daily accounting operations and manages financial transactions. You will work closely with the Country Director while ensuring transparent and fair procurement of goods and services. The position also oversees office administration, planning, coordination, and other critical tasks supporting Spark’s leadership in Ghana.

Finance responsibilities include:

• Manage banking and accounting including daily bookkeeping, cash reconciliation, and bank correspondence in Ghana
• Own the monthly close process and account reconciliations
• Participate in internal and external audits
• Support annual planning and budgeting
• Prepare cashflow forecasts to ensure timely funds for daily and strategic activities
• Review partner financial reports and take action on performance
• Train partner staff on planning, implementing, monitoring, and reporting funds

Administration and logistics duties cover:

• Oversee daily administrative procedures for Spark Ghana
• Onboard new employees including workspace setup and resources
• Coordinate logistics for programme activities including transport and accommodation
• Manage office supplies and programme materials inventory
• Supervise office equipment distribution and maintenance
• Oversee facility maintenance and health and safety compliance
• Lead procurement from identifying needs to purchasing
• Negotiate vendor contracts for cost effective purchasing
• Maintain supplier relationships and quality standards
• Process invoices and ensure timely payments

Who Spark Wants to Hire

Essential qualifications include:

• A bachelor’s degree in Accounting, Finance, Business Administration, Supply, or a relevant field
• Minimum four years of relevant work experience
• High proficiency in MS Office and technology for efficiency
• Strong understanding of competitive procurement practices
• Demonstrated ethics and integrity
• Strong collaboration and interpersonal skills
• Excellent organisational skills with planning focus and attention to detail
• Solid understanding of accounting principles, accounting systems, and Ghana tax requirements

Technical skills needed:

• Strong knowledge of MS Office suite and Google Workspace including Docs, Sheets, Slides, and Forms
• Familiarity with collaboration tools like Slack, Trello, or Asana

Communication requirements:

• Excellent oral and written communication skills
• Ability to communicate clearly in English
• Skill at tailoring messages to different audiences

Flexibility expectations:

• Adaptability to change and comfort working in a dynamic environment
