POSITION: Personal Assistant

Mazars Advisory is seeking a Personal Assistant to join our team. If you possess excellent interpersonal skills, strong attention to detail, technical proficiency, and the discretion required to handle sensitive information, this role offers the opportunity to manage schedules, coordinate meetings, arrange logistics, and support leadership in a dynamic advisory firm.

Your Mission

You will take responsibility for calendar and schedule management, ensuring executives attend the right meetings at the right times without conflicts. Your role includes communication handling, screening calls and emails, and responding on behalf of executives where appropriate. Additionally, you will coordinate travel and logistics including flights, hotels, and ground transportation, provide general administrative support, organize meetings with internal and external participants, and assist with personal tasks as required.

Key Responsibilities

Your role spans calendar management, communication, travel coordination, administrative support, meeting organization, and personal assistance. Here is what you will tackle:

Calendar & Schedule Management

  • You will manage executive calendars, scheduling appointments, blocking focus time, and avoiding double bookings.
  • Prioritizing urgent requests and rearranging schedules when conflicts arise.

Communication Handler

  • You will handle incoming and outgoing communication, screening phone calls and emails.
  • Drafting responses or redirecting inquiries to appropriate team members.

Travel & Logistics

  • You will coordinate travel and logistics including flights, hotel reservations, visa arrangements, and ground transportation.
  • Preparing travel itineraries and ensuring executives have all necessary documents.

Administrative Support

  • You will provide general administrative support including filing, document preparation, expense reporting, and office supply management.
  • Keeping executive files organized and confidential.

Meeting Coordination

  • You will organize meetings, sending invitations, reserving rooms, preparing agendas, and distributing materials.
  • Taking minutes when required and following up on action items.

Personal Assistance

  • You will assist with personal tasks as needed, which may include errands, reservations, or family related arrangements.
  • Maintaining discretion and professionalism at all times.

What You Bring to the Role

Education & Training

  • A minimum of a diploma or bachelor’s degree in Business Administration, Communications, or Hospitality.
  • Business management, office administration, and communication skills.
  • Secretarial courses, administrative assistant training, or specialized software training such as CRM.

Experience

  • Previous experience as a Personal Assistant, Executive Assistant, or in an administrative role.

Skills & Competencies

  • Organization and time management to juggle multiple priorities without dropping tasks.
  • Strong communication skills for interacting with executives, clients, and vendors.
  • Discretion to handle confidential information without ever sharing it inappropriately.
  • Technical proficiency in Microsoft Office, calendar software, and communication tools.
  • A proactive attitude, anticipating needs before being asked.
