POSITION: HR Assistant

Serendipalm Co. Ltd. is seeking an HR Assistant to join our team. If you have strong communication and organizational skills, the ability to handle confidential information professionally, and previous HR or administrative experience as an advantage, this role offers the opportunity to assist with recruitment and onboarding, maintain employee records, support payroll and attendance, administer leave and staff welfare, prepare HR reports, and provide general administrative support.

We are value driven, with a highly motivated team of 20 plus professionals managing over 300 local staff, many unskilled. As an HR Assistant, you will not simply process paperwork; you will support the HR needs of a project that transforms rural livelihoods through sustainable agriculture.

Your Mission

You will take responsibility for assisting with recruitment and onboarding processes, ensuring new hires integrate smoothly. Your role includes maintaining employee records and HR documentation, supporting payroll and attendance processes, assisting with leave administration and staff welfare matters, preparing HR reports and correspondence, and providing general administrative support to the HR department. Your attention to detail will keep employee records accurate, while your professionalism will maintain confidentiality.

Key Responsibilities

Your role spans recruitment, record keeping, payroll support, leave administration, reporting, and general administration. Here is what you will tackle:

Recruitment & Onboarding

  • You will assist with recruitment and onboarding processes, posting vacancies, screening applications, and scheduling interviews.
  • Preparing offer letters and new hire documentation.

Employee Records

  • You will maintain employee records and HR documentation, ensuring every staff file remains complete and confidential.
  • Updating records for promotions, transfers, or exits.

Payroll & Attendance

  • You will support payroll and attendance processes, tracking hours worked and leave taken.
  • Providing accurate data to payroll processors.

Leave & Staff Welfare

  • You will assist with leave administration, tracking balances and approving requests within policy.
  • Supporting staff welfare matters, addressing employee queries and concerns.

Reporting & Correspondence

  • You will prepare HR reports and correspondence, including monthly headcount, leave summaries, and recruitment updates.
  • Drafting internal memos and letters.

General Administration

  • You will provide general administrative support to the HR department, filing, photocopying, and managing HR inboxes.

What You Bring to the Role

Education

  • A degree or diploma in Human Resource Management or a related field.

Technical Skills

  • Good knowledge of Microsoft Office applications including Word, Excel, and Outlook.
  • Ability to handle confidential information professionally, never disclosing employee data inappropriately.

Personal Attributes

  • Strong communication skills to interact with employees at all levels, from unskilled staff to management.
  • Strong organizational skills to manage multiple recruitment, attendance, and leave tasks simultaneously.
  • Proactive: You anticipate HR needs, preparing documents before they are requested.
  • Detail oriented: You catch errors in attendance records or leave balances before they affect payroll.
  • Empathetic: You handle employee welfare matters with discretion and care.
