Your Mission

As an Executive Assistant, you will provide high level administrative support to senior leadership. Your role includes managing calendars, coordinating meetings, handling correspondence, arranging travel, preparing documents and presentations, screening calls, maintaining confidential files, and liaising with internal departments and external partners. Also, your ability to anticipate needs and solve problems will free up executives to focus on strategic priorities.

Key Responsibilities

Your role spans calendar management, communication, travel coordination, document preparation, confidentiality, and stakeholder liaison. Here is what you will tackle:

Calendar & Meeting Management

  • You will manage executive calendars, scheduling appointments and avoiding conflicts.
  • Coordinating meetings with internal teams and external partners.

Communication Handling

  • You will handle correspondence on behalf of executives, drafting emails and letters.
  • Screening phone calls and responding to inquiries appropriately.

Travel & Logistics

  • You will arrange travel, including flights, hotels, and ground transportation.
  • Preparing detailed itineraries and ensuring executives have all necessary documents.

Document & Presentation Preparation

  • You will prepare documents, reports, and presentations for meetings and events.
  • Ensuring materials are accurate, polished, and delivered on time.

Confidentiality

  • You will maintain confidential files and handle sensitive information with discretion.
  • Never disclosing executive or company information inappropriately.

Stakeholder Liaison

  • You will liaise with internal departments and external partners on behalf of executives.
  • Building relationships that enable smooth communication and collaboration.

What You Bring to the Role

Experience & Skills

  • Previous experience as an executive assistant or in a senior administrative role.
  • Strong organizational and time management skills to handle multiple priorities.
  • Excellent written and verbal communication skills for drafting correspondence and interacting with stakeholders.
  • Proficiency in Microsoft Office including Outlook, Word, Excel, and PowerPoint.
  • Ability to anticipate executive needs and solve problems proactively.
