POSITION: Chief Enterprise Officer

MTN Ghana is seeking a Chief Enterprise Officer Assistant to perform secretarial and administrative duties for the Chief Enterprise Officer and the Enterprise Business Division. If you have excellent typing and computer literacy, plus knowledge of standard office practices, this role offers the opportunity to organize record keeping systems, coordinate correspondence, manage schedules, track petty cash, collaborate on employee engagements and projects, and prepare weekly and quarterly reports.

Your Mission

You will take responsibility for organizing and maintaining record keeping systems for correspondence, documents, materials, and records, setting up files as per established methods. Your role includes responding to requests for administrative support and assistance to the office of the CENO, applying relevant judgment, coordinating internal and external correspondence, and undertaking ad hoc project related duties. Additionally, you will maintain the CENO’s schedule and calendar, track IOU and petty cash monthly, collaborate with stakeholders on employee engagements and enterprise business projects, ensure smooth office operations, and prepare weekly, monthly, and quarterly reports.

Your role spans record keeping, administrative support, correspondence coordination, schedule management, petty cash tracking, stakeholder collaboration, project support, office management, and reporting. Here is what you will tackle:

Record Keeping

  • You will organize and maintain record keeping systems for correspondence, documents, materials, or records.
  • Then, Setting up files as per established methods and logging incoming and outgoing information.

Administrative Support

  • You will respond to requests for administrative support and assistance to the office of the CENO, applying relevant judgment.
  • Also, Prioritizing requests and escalating when necessary.

Correspondence Coordination

  • You will coordinate internal and external correspondence and undertake ad hoc project related duties for the CENO.
  • Moreover, Drafting and proofreading letters, emails, and memos.

Schedule Management

  • You will maintain the CENO’s schedule and calendar as instructed and schedule appointments.
  • Also, Avoiding conflicts and ensuring efficient time use.

Petty Cash Tracking

  • You will track IOU and petty cash issued monthly, reconciling expenses and ensuring accurate records.
  • Afterwards, Reporting discrepancies to the CENO.

Stakeholder Collaboration

  • You will collaborate with relevant stakeholders in delivering value adding divisional and organizational employee engagements.
  • Supporting the execution of Enterprise Business Projects.

Office Management

  • You will ensure smooth running of the office environment related to CENO needs.
  • Ordering supplies, coordinating maintenance, and handling logistics.

Reporting

  • You will prepare weekly, monthly, and quarterly reports required by the CENO or stakeholders.
  • Summarizing activities, expenses, and project progress.

What You Bring to the Role

Education

  • A minimum of a university degree in Social Science, Psychology, Management, or a related field.
  • A SCRUM or Agile certificate gives you an added advantage.

Experience

  • A minimum of three years of relevant experience as a Personal Assistant to a C Suite role.

Professional and Technical Competencies

  • Advanced Microsoft Office skills including Word, Excel, PowerPoint, and Outlook.
  • Advanced communication and correspondence management.
  • Knowledge of meeting and event coordination tools.
  • Data and information management abilities.
  • Travel and logistics management experience.
  • Executive support systems and CRM tools familiarity.
  • Presentation and document preparation skills.
