POSITION: Operations & Facilities Associate

Zach Levi & Associates is seeking an Operations & Facilities Associate to join our team, providing critical operational and logistical support for a health focused international non profit organisation. Your Mission

You will take responsibility for day to day office operations, including cleanliness, maintenance, security, utilities, office supplies, and functionality of the office space. Your role includes managing office repairs, maintenance scheduling, fumigation, landscaping, and safety compliance, serving as the primary point of contact for artisans, office vendors, and contractors, supporting internal teams with scheduling meetings and event logistics, assisting in preparing operational reports, and contributing to compliance with health and safety regulations.

Key Responsibilities

Your role spans facilities management, vendor coordination, operational planning, and compliance support. Here is what you will tackle:

Facilities Management & Work Environment Optimisation

  • You will manage day to day office operations, including cleanliness, maintenance, security, utilities, office supplies, and functionality of the office space.
  • Ensuring a safe, clean, and professional environment for staff.
  • Coordinating office repairs, maintenance scheduling, fumigation, landscaping, and safety compliance for the Ghana office.
  • Ensuring compliance with safety regulations and office related policies.

Vendor & Contractor Coordination

  • You will serve as the primary point of contact for artisans, office vendors, and contractors across service categories including catering, security, cleaning, utilities, facility maintenance, accommodation, and transportation.
  • Managing service schedules, tracking vendor performance, and ensuring contract fulfillment according to agreed service standards.
  • Assisting in sourcing supplies and services in line with organisational procurement policies.

Operational Planning & Reporting

  • You will support internal teams with scheduling meetings, planning logistics for events, and maintaining operational timelines.
  • Assisting in preparing reports related to office operations, expenditures, and process improvements.
  • Helping streamline operational workflows to support team efficiency.

Compliance & Process Support

  • You will contribute to ensuring organisational compliance with internal policies and external regulations related to health and safety.
  • Supporting documentation and implementation of operational policies and procedures.
  • Assisting with initiatives aimed at improving internal processes and workplace functionality.

What You Bring to the Role

Qualifications

  • A bachelor’s degree in social sciences, public administration, or business from an accredited university.

Experience

  • At least two years of working experience, demonstrating your ability to handle operations, facilities, or administrative roles.

  • Strong organising skills to manage multiple vendors, schedules, and tasks simultaneously.
  • Attention to detail to catch maintenance issues, contract lapses, or safety hazards before they escalate.

  • Excellent written and verbal communication skills for interacting with vendors, staff, and management.
