We currently seek a versatile Human Resource Officer to join our team. This position places you at the intersection of HR management, government liaison, and administrative oversight. You will coordinate with multiple government agencies, manage company licenses, oversee employee records, and ensure our factory operations comply fully with Ghanaian laws and regulations. Your expertise will directly support our growth and sustainability.
Your Core Responsibilities
- Coordinate with various government stakeholders including the Factory Department, Government Authorities, Social Security and Insurance Trust Fund (SSNIT), Environmental Protection Agency (EPA), Customs, and Local Authorities to handle inspections, permits, measurements, and compliance matters.
- Manage company licenses, permits, and regulatory documents diligently, ensuring all certifications remain current and valid.
- Ensure factory operations comply with legal and regulatory requirements consistently, safeguarding the company from penalties and reputational risk.
- Maintain proper filing and record keeping systems for all compliance related documentation, enabling easy retrieval and audit readiness.
- Assist the warehouse department with compliance related matters, providing guidance and support as needed.
- Manage employee attendance records accurately, tracking work hours, leave, and absences.
- Coordinate office administration and procurement activities, ensuring smooth day to day operations.
- Arrange travel, accommodation, and company logistics efficiently, supporting employee mobility and business continuity.
- Maintain internal administrative records systematically for reference and reporting.
- Assist in reviewing employee salaries and payroll records, checking attendance, loans, overtime, and allowances for accuracy.
- Support the finance department with payroll processing, ensuring timely and correct salary disbursement.
- Implement company policies and disciplinary procedures fairly and consistently.
- Maintain employee records and personnel files confidentially and securely.
- Support communication between management and employees, fostering a positive workplace environment.
What We Are Looking For
To succeed in this role, you must bring a combination of academic qualifications, professional experience, and personal attributes. Specifically, we require:
- Experience: Minimum of 2 years of work experience in administration, human resources, compliance, or related fields.
- Industry Exposure: Experience in factories or the manufacturing industry is strongly preferred.
- Regulatory Knowledge: Familiarity with Ghanaian labor laws and government procedures provides a distinct advantage.
- Government Relations: Proven ability to deal with government departments and handle inspections and permits effectively.
- Escalation Handling: Capacity to manage challenging situations and escalate appropriately when needed.
- Factory Management: Understanding of factory operations and compliance requirements.
- Language Skills: Ability to speak Chinese adds significant advantage.
- Communication: Good English communication skills for interacting with stakeholders at all levels.
- Technical Proficiency: Strong command of Microsoft Office applications for reporting and documentation.
- Responsibility: Strong sense of accountability and execution capability.
- Resilience: Ability to work under pressure and meet deadlines consistently.
- Coordination: Good coordination and reporting skills for managing multiple tasks simultaneously.
