POSITION: Small Grants Fund Administrator

We currently seek a highly motivated and organized professional to join our team as a Small Grants Fund Administrator for the groundbreaking UCARE project in Tamale, Ghana. A Role of Strategic Importance

The Small Grants Fund Administrator position transcends traditional grant coordination. You will take full ownership of the operational management and coordination of the Fund, ensuring all activities implement efficiently and comply fully with established policies and procedures. Working closely with the Field Manager, project team, and relevant committees, you will play a pivotal role in planning, coordinating, monitoring, and reporting on small grants fund activities. Your work will directly contribute to reducing the heavy, unequal burden of unpaid care work borne by women and adolescent girls across northern Ghana.

The UCARE Project Context

The United for Care-Sensitive Approaches to Rights and Empowerment (UCARE) project represents a CAD $9.8 million, five-year initiative funded by Global Affairs Canada, running from April 2024 through March 2029 . The project seeks to enhance the well-being of women and adolescent girls by redistributing and reducing the heavy, unequal, and unfair burden of unpaid care and domestic work they perform . Alinea implements UCARE alongside local partner organizations SEND Ghana and NETRIGHT, with participation from the Ghana Statistical Service and the National Development and Planning Commission . The project operates across 10 Metropolitan, Municipal, and District Assemblies in the Northern, Northeast, and Savannah regions, reaching 225,000 individuals.

Core Responsibilities

Your daily activities will encompass a comprehensive range of fund management functions:

  • Manage and coordinate all processes and steps to administer the Small Grant Fund as outlined in the Operations Manual
  • Oversee the implementation of all active grants approved through the fund
  • Prepare all materials including bidders’ packages, promotional materials, and other documents required to launch the Fund
  • Liaise with MMDAs and the project appraisal committee regarding progress for each grant
  • Manage the dedicated Grant Fund email, documenting all correspondence according to established processes
  • Ensure the administration of the Small Grant Fund remains aligned with UCARE program objectives, donor requirements, and Alinea internal controls
  • Coordinate all Fund administration activities, organizing appraisal committee reviews and scoring while maintaining meeting minutes
  • Coordinate the provision of technical assistance to MMDAs as required
  • Document and maintain complete records for each grant meeting Operations Manual requirements
  • Serve as the primary point of contact for communication between UCARE and participating MMDAs
  • Lead the co-creation process and negotiation with MMDAs following appraisal committee direction
  • Liaise with procurement, finance, and program management functions for effective Fund management
  • Support grant monitoring, tracking, and reporting working closely with the M&E Specialist
  • Communicate transparency, accountability, and audit readiness issues effectively with the Field Manager and Finance Team
  • Identify and escalate emerging risks working closely with the Field Manager
  • Coordinate effective closeout documentation and related reports

Required Qualifications and Experience

Educational Foundation:
Candidates must hold a Bachelor’s degree in Business Administration, Finance, Management, Procurement, or a related field from a recognized institution.

Professional Experience:
We require a minimum of five years of direct work experience in Grant Fund Management within an NGO, private sector, or development organization. This experience should demonstrate proven process management skills and strong administrative and organizational capabilities.

Core Competencies Required:

  • Excellent verbal communication and writing skills in English
  • Experience and knowledge of procurement processes with strong coordination abilities
  • Meticulous attention to detail in all documentation and correspondence
  • Understanding of the local governance system and how MMDAs function and operate
  • Familiarity with gender equality and social inclusion issues
  • Strong interpersonal, networking, and teamwork skills
  • Strong computer literacy including Word and Excel proficiency
