Key Responsibilities
- Serve as the primary external contact for government agencies, including Immigration, Refugees and Citizenship Canada, Service Canada, and ServiceOntario
- Prepare and submit Labour Market Impact Assessment (LMIA) applications and work permits
- Track visa applications, renewals, and immigration documentation
- Coordinate international worker arrivals, departures, travel schedules, and vacation planning
- Assist employees with banking setup, Social Insurance Numbers (SIN), insurance, and healthcare applications
- Maintain accurate program records using internal systems such as ADP WorkforceNow
- Allocate housing for foreign workers and maintain occupancy records
- Coordinate housing inspections and ensure compliance with standards
- Manage invoices and logistics related to company housing units
- Coordinate furnishing, maintenance, and relocation of housing facilities
- Maintain confidential employee files and documentation
- Assist HR with administrative tasks, reporting, and record management
- Support internal communication and coordination between departments
Job Requirements
- Post-secondary education in Business Administration, Human Resources, or a related field
- Bilingual proficiency in English and Spanish
- 1–3 years of HR or administrative experience requiring strong documentation management
- Experience with TFWP processes or LMIA applications considered an advantage
- Strong interpersonal and communication skills
- Ability to manage sensitive and confidential information professionally
- Proficiency with Microsoft Office and Windows-based systems
- Excellent time management, analytical, and problem-solving skills
