POSITION: Office Executive

Amasha Partners is seeking an Office Executive to join our team in Accra. If you hold a Diploma or Bachelor’s degree, possess strong organizational skills, and want to work in a dynamic, growth oriented environment, this role offers the perfect opportunity to build your career while working closely with team leadership.

Your Mission

You will take responsibility for daily administrative operations, ensuring seamless business workflows and professional visitor management. Your focus will span vendor coordination, reception backup, office procedures, executive support, facility management, visitor hosting, event logistics, travel arrangements, and IT equipment setup. Your ability to juggle multiple responsibilities with a positive attitude will make you indispensable.

Key Responsibilities

Your role spans vendor management, reception coverage, office procedures, executive support, facility oversight, visitor hosting, event coordination, travel planning, and IT readiness. Here is what you will tackle:

Vendor & Service Coordination

  • You will coordinate services with office related vendors and service providers, including food and beverage vendors and furniture vendors.
  • Building strong vendor relationships ensures timely delivery and quality service.

Reception Backup

  • You will serve as the primary backup for the Receptionist during lunches, vacations, and sick days.
  • Stepping in seamlessly keeps the front desk covered and visitors attended to.

Office Procedures & Operations

  • You will maintain office services by organizing office operations procedures, creating consistency and efficiency.
  • Documenting procedures helps train future team members and maintain standards.

Executive Support

  • You will manage the President’s to do list, handling necessary follow up and new meeting requests.
  • Scheduling appointments and arranging all travel for the executive saves leadership time and reduces stress.

Facilities & General Office Needs

  • You will manage facilities and general office needs, ensuring the workspace remains functional, clean, and welcoming.
  • Addressing maintenance issues promptly prevents disruptions.

Visitor Management & Concierge Services

  • You will welcome visitors and assist them in connecting with their hosts, creating a positive first impression.
  • Acting as concierge, you will coordinate and set up meetings and events as requested, including catering, setup, cleanup, and all other logistics.

Event Production Calendar

  • You will maintain the live event production calendar, tracking upcoming meetings, events, and deadlines.
  • A clear calendar prevents scheduling conflicts and missed commitments.

IT Equipment Readiness

  • You will ensure laptops, monitors, phones, Internet access, and other devices are set up and activated for all employees and visitors at all times.
  • Working technology from day one prevents frustration and downtime.
